Job Title: Office Administrator (Maternity Cover)
Location: Office-based (Aberdare)
Contract: Fixed-term maternity cover – minimum 6 months, extendable for the duration of maternity leave
Hours: Flexible (to be agreed)
Salary: National Living Wage
Reporting to: Managing Director

 ABOUT THE ROLE

We are looking for a reliable and organised Office Administrator to cover a period of maternity leave. This is a hands-on role supporting the smooth day-to-day operation of our training business, with responsibilities spanning administration, finance processing, course coordination, communications, and occasional tender support.

KEY RESPONSIBILITIES

Office & Administrative Support

  • Maintain and update internal trackers and spreadsheets
  • Manage Outlook calendars, including course schedules
  • Order office and training supplies
  • Book accommodation for trainers
  • Support the upkeep of training rooms and office spaces

Training Administration

  • Update courses on the website and Outlook calendar
  • Send course reminders
  • Print workbooks and materials
  • Create and post certificates
  • File evidence for funded training

Finance Administration

  • Raise customer invoices
  • Upload supplier invoices to QuickBooks
  • Chase payments
  • Match payments and reconcile accounts
  • Maintain petty cash and advance invoicing spreadsheets
  • Provide monthly supplier payment lists
  • Flag issues to the Managing Director

Marketing & Communications

  • Create and schedule flyers
  • Maintain the company LinkedIn page

Tenders & Supplier Documentation

  • Monitor tender opportunities
  • Assist with drafting and submitting tenders
  • Complete supplier forms

ESSENTIAL SKILLS

  • Office administration experience
  • QuickBooks experience
  • Excel proficiency
  • Outlook calendar management
  • LinkedIn/social media scheduling experience
  • Strong organisation and communication skills

DESIRABLE SKILLS

  • WordPress experience
  • Tender support experience
